Preparing your order to transfer video
Include your video tapes or other materials, order form, and payment, and use the mailing address that's on the bottom of the order form.
If you are shipping your order to us, pack your materials carefully to avoid any damage during shipping. We recommend placing your tapes, discs, or other materials in a Ziploc plastic bag to seal out moisture. Then, wrap your bagged materials with bubble wrap before putting them in your envelope or box. If bubble wrap is not available, make sure to use a padded, reinforced envelope or sturdy box.
For a DVD duplication order, pack the disc in the middle of sturdy cardboard. Please be extra careful and pack extra well if you are enclosing a hard drive or camcorder – use lots of padding!
We realize that most videos sent to us are irreplaceable. However, we cannot be held responsible for any damage that occurs during shipping. We encourage you to pack your tapes and materials carefully and securely for this reason. We promise that when we record to DVD or files, we will be extra careful with every tape, photo, or disc that you send.
Getting your project to us
Ship It: The vast majority of our customers ship their orders to us. It's safe, fast, and saves everyone time and gas! This is the best way to reach us.
We strongly recommend sending your order via a trackable shipping carrier such as UPS or FedEx (or USPS with tracking). The mailing address on our order forms is for our private, paid mailbox, which is located in a temperature-controlled facility. This means your order is never sitting outside in cold or hot temperatures, and you can even request delivery or signature confirmation if you wish.
Free Pickup Service: Pickup service is available for customers whose projects total at least $500 (about 15 or more tapes) and who live in southeastern Pennsylvania. Pickup is handled by our delivery person, whose only job is to collect your tapes and materials. Please do not direct any questions or instructions for your order to our delivery person. Service is provided in Bucks, Montgomery, Delaware, Chester, and parts of Philadelphia county, as well as the Allentown-Bethlehem-Easton area. Sorry, we are not able to offer this service in Center City Philadelphia.
Can I drop off my project? We apologize, but dropping off your order is not currently offered. Timeless DVD is not a storefront, but a private facility that is subject to residential zoning. In addition, we do not have the facilities or staff to accommodate personal meetings. If you are not eligible for pickup service, we advise that you ship your project to us.

If you wish, e-mail us after you've mailed your package so we can watch for it. We'll e-mail when your materials arrive and if we have any questions.
Then we'll get to work, transferring video for you! If your order form raises a question, we'll be in touch. And of course, if you need a total for your project, we will assess your tapes or videos as quickly as possible and issue an invoice to you.
Turnaround time for converting to DVD or video files depends on your project's complexity and size as well as our workload at the time your order arrives. We do not estimate exact turnaround times, because every project is different. Some tapes and projects require more time and effort than others, and depend on issues such as the tape's age and condition. In general, most orders are handled on a "first come, first served" basis.
If your order requires a specific due date, you must contact us before sending your order. We only guarantee a desired due date if we have confirmed to you prior to project submission that your project will fit into our schedule. Orders that are submitted without this confirmation are NOT guaranteed to be finished by the date you write on the form.

If you have changes to make to your project after we've started work, either in terms of the disc authoring, DVD design, or anything else, please e-mail as soon as possible. Depending on how close to the finish date we are, the changes may affect your deadline.
We'll mail your DVDs and all original materials back to you, so you can start watching and enjoying as soon as possible!
We always pack orders carefully with bubble wrap and a sturdy box. If you chose pickup service at the start of your project, we will arrange to have the project hand-delivered by our delivery person.
If there is a problem with your order, please let us know. We will make every effort to solve the issue. If your DVD has an error that was our fault, we will fix the DVD and issue replacement disc(s). However, please remember that we do not issue refunds for compatibility reasons after a video to DVD transfer, due to the work involved when we convert a video tape to digital formats. You must indicate your DVD player make and model on your order form prior to work beginning for us to adequately check potential compatibility issues.
